Concurrent with our UFAD migration, we are converting from our stand-alone IMAP server to the UF Exchange system. This system, based on Microsoft Exchange 2007 Server, will allow users to not only exchange emails, but collaborate via shared calendars, access these resources remotely via webmail, and will allow a virtually unlimited mail storage quota.
As we migrate users to UF Exchange, we update their official UF business email address and Gatorlink forwarding address to point to the new Exchange mailbox. Outgoing messages will be addressed as <GLusername@ufl.edu>. Your Exchange mailbox will continue to accept email addressed to the old departmental address indefinately. However, we recommend you update your subscriptions to any mailing lists, as most will not recognize the new address as being from the same user.
CLAS is paying for the roughly 800 faculty and staff who were on the CLASnet server. Units may request additional Exchange mailboxes for their graduate students at a cost of $24 per user per year.
After your office desktop computer has been converted to UFAD, select the Microsoft Office Outlook icon from your "Start" menu. Anyone on UFAD should automatically authenticate and connect to the Exchange server. You will notice several mail folders, which will most likely include the following:

| Deleted Items | The equivalent of Trash. Any items in here are automatically deleted after 30 days. |
| Drafts | Unsent/unfinished email messages |
| Inbox | New mail messages. Any items here must be refiled within the
first year. Any items in here are automatically deleted after 365 days. |
| Junk E-mail | Any messages you mark as "spam" are put in here. |
| Sent Items | Messages you send out. Any items you wish to keep must be
refiled. Any items in here are automatically deleted after 365 days. |
These email folders are also available via webmail. Visit http://www.mail.ufl.edu and select the Outlook Web Access Login icon in the lower left corner.
Individual User Migrations to Exchange
As we convert individual users to Exchange, we follow a number of procedures to ensure no email is lost.- The existing departmental email address is forwarded to UF Exchange.
- The existing INBOX is migrated into the UF Exchange Inbox. If it contains any messages older than 365 days, your mail is instead moved to "CLAS mail\INBOX".
- The existing Sent folder is migrated into the UF Exchange Sent Items. If the folder contains any messages older than 365 days, it is instead moved to "CLAS mail\Sent".
- Any other mail folders are migrated into the "CLAS mail" mail folder in UF Exchange.
- The UF Official Business and Gatorlink forwarding addresses are updated to point to the new UF Exchange mailbox.
