CLASnet

Before we migrate your unit to UFAD, your department contact, chair/director, and/or office manager will receive a memo containing several checklists and spreadsheets. These must be completed before we can migrate your unit. If your unit is unable to provide the requested information, we may need to delay your migration, and help another department first.

The first spreadsheet will be a list of the networked computers we have registered to your unit, sorted by building, room, and primary user. If this is incorrect, please annotate it accordingly. Make sure any computer labs are noted as such, and include who uses them (grad students, undergrads, outside personnel, etc).

The second spreadsheet is a list of users we have associated with your unit. If any of these people have left your unit, please let us know so we can retire their accounts. Similarly, if anyone is missing, please add them to the list, and ensure they are related to your unit via the "Network Managed By" (NMB) field.

As part of the transition, faculty and staff receiving UF Exchange email accounts will need their CLASnet and Gatorlink usernames to match. Individuals wanting to change their Gatorlink username may visit the UF Hub with a Gator-One ID card and request the name change at the UF Help Desk. Multiple Gatorlink username updates may be requested via e-mail, but this may cause their Gatorlink password to be reset and some PeopleSoft roles may need to be reassigned. Anyone wanting to change their CLASnet username may request that of us via e-mail. Should any usernames not match at the time of the migration, we will default to the Gatorlink name.

Any files stored locally on the hard drives will need to be backed up and archived before the migration. To ensure none of this data is lost, we need you to help your faculty and staff locate this data and back it up to the Netware HOME directory, CD-R, USB memory sticks, or other removable media. Should someone have some data that cannot be backed up, or is too large to be archived, please note this, so we can assist these specific users. Specific examples of local data include, but are not limited to:

If a computer has any local peripherals (a local printer, scanner, video camera, etc), we will need to install the drivers and requisite software. Note the type and model number of any such devices, and make sure the installation media is available.

Many people have installed additional software required to perform their job duties on their computers, besides that which is installed automatically by the Netware server. We will need a list of these software programs, along with their license keys and copies of the media, so we can ensure they are compatible with UFAD, then reinstall them after the computers are migrated.

Unfortunately, the UFAD migration will cause an interruption in work. Assuming all of the above preparations are successful, you should still plan on it taking one business day per 20 desktop computers. Plan the downtime accordingly. You may prioritize the room list, in which case we will upgrade the individual computers in the order you provide. If you have any upcoming conferences or deadlines, please let us know, and we will work with you to schedule accordingly.

Please let us know if you have a local IT support person (OPS or otherwise) who can assist in the migration. Non-Windows (Macintosh and Linux/Unix) computers will need additional on-going support to stay connected to UFAD, and this responsibility will fall upon your unit.
