Purpose.
This message documents the CLASnet naming conventions for user accounts, mailing lists, mailing aliases, computer names, and web sites.

User Accounts.
User accounts on the CLASnet system(s) are limited to a maximum of eight (8) alpha-numeric characters in length. The alphabetic characters 'a' through 'z' are limited to lowercase. No characters besides 'a'-'z' and '0'-'9' are permitted.

Account usernames should be based on the user's full name. Valid combinations are the user's initials, first initial + last name, and first name + last initial. For example, user 'Keith Sanders' would be 'ksanders', while 'Dallas N Antley' would be 'dna'. Vanity usernames (ie, 'g8rsrule' or 'slimjim') are not professional and should not be requested. In the event that all common permutations of a person's full name are unavailable, a monotonically increased number should be appended to a permutation. (ie, 'dna', 'dna1', 'dna2'). Such a numeric permutation should be used only as a last resort.

Usernames based on the individual's job/position (ie, 'zoochair') are not appropriate. This functionality may be provided via a mailing alias.

Mailing Lists.
Mailing list names should be longer than eight (8) alpha-numeric characters and/or may contain a hyphen (-). This prevents potential "namespace collisions" with CLASnet user accounts.

Mailing lists should receive names related to their purpose. For example, an announcement-only mailing list for the Society of Exact Philosophy (SEP) should be named 'sep-announce'. Names, abbreviations, and/or acronyms shorter than 8 characters are not allowed, as this may conflict with a user's account.

Course mailing lists are normally assigned names based on their semester and section number. For example, an ENC1101 course taught in Spring of 2001 with a section number of '1234' would be 's01-1234'. Department-variable courses will be handled on a case-by-case basis, and will usually involve the course designation (ie, ENG4495) in lieu of the section number.

Mailing Aliases.
When a unit requires a "generic" email contact for publication (either hard-copy or on the web), CLASnet can provide a mailing alias. As mailing aliases may be "associated" directly with the requesting department, conflicting departmental aliases (ie, 'chair@dept.ufl.edu') may be requested.

These mailing aliases are usually created to provide generic contact addresses based on job function or title. Like mailing lists, there is no restriction on name length, and any alpha-numeric characters and/or the hyphen (-) are allowed.

Web Sites.
Official UF Policy dictates that any University-affiliated web site should be advertised within the ufl.edu name-space. CLASnet maintains DNS names for all College departments and larger centers. All other units' web sites should be hosted within their departments (ie, www.dept.ufl.edu/unit).

Exceptions must be approved by the CLAS Director of Information Technologies and by the UF Office of Public Relations.
